The College of Agriculture and Life Sciences (CALS) at Cornell University is engaged in pioneering pursuit of inclusive, purpose-driven science. The CALS Office of Academic Programs provides support and oversight for the Office of Admissions, the Office of Student Services, the Office of Curriculum Development and Instructional Support (OCDIS), and the Office of Professional Programs and Extended Learning (OPPEL). These offices collaborate on the recruitment, enrollment, degree attainment, career development and academic support for all CALS Undergraduate and Professional Masters Students. The office also oversees the curricular and compliance efforts across the college.

The Office of Academic Programs (OAP) is seeking an Administrative and Program Coordinator to join our team and play a vital role in facilitating the success of our academic initiatives.

Responsibilities:

As an Administrative and Program Coordinator, you will be an integral part of our team, providing essential support to the Office of Academic Programs. Your responsibilities will include:

  • Assisting administrators within the OAP, including the CALS Associate Dean of Academic Affairs, Assistant Dean of Academic Programs and Student Success, and the Director of Curriculum Development and Instructional Support.
  • Managing calendars, communication, and project timelines for the above members of the office leadership team.
  • Coordinating special projects and initiatives to enhance the efficiency and effectiveness of academic programs.
  • Acting as the primary support for NYSED/SUNY program filings, CALS Teaching Experience workshop, academic unit/major annual assessments, TA allocation planning, and research funding award processes.
  • Organizing and assisting in the execution of events such as teaching workshops, Commencement, and Orientation.
  • Collaborating with the CALS Communication Office to maintain and update web pages.
  • Handling records and data management, as well as generating necessary reports.
  • Taking on the role of OAP telecommunications coordinator and being a liaison for office setup, technology rotation, and emergency/safety protocols.
  • Overseeing the maintenance and repair of specific office equipment and assisting in the coordination of office projects,
  • Responsible for procurement and monitoring budgets related to office supplies, events, and other areas as needed.

What We Need

  • Associate\xe2\x80\x99s degree and 4 or more years relevant experience with administrative work or an equivalent combination of education and relevant work experience.
  • Proficiency in database management budget management, and electronic calendaring.
  • Prior experience with Microsoft Word, Excel and Outlook.
  • Strong verbal and written communication skills as well as an ability to maintain a high level of confidentiality, discretion, and diplomacy.
  • Ability to interact and work cooperatively and effectively with the Associate and Assistant Deans, Directors, faculty, and fellow staff members.
  • Demonstrated experience as an independent thinker and being self-motivated.
  • Able to conduct a diverse set of tasks with poise, confidence and independence within a team-based environment.
  • Proven skills in project management and coordination.
  • Able to work quickly and effectively under pressure, use judgment in accomplishing tasks that are urgent; balance conflicting priorities, and make decisions from a range of choices.

  • After the initial onboarding and training period, and based on the discretion of the leadership team, this position is eligible for a hybrid work arrangement. Employees typically perform this role remotely 1 day per week and on-campus 4 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time. The New York Convenience of employer guidelines require New York State individual tax reporting and withholding for this position. Additional individual state income tax filings may also be required if working temporarily outside of New York State.
