The Alaska State Libraries, Archives & Museums is searching for their next Administrative Assistant to complete their team.What You Will Be Doing
You will be an essential member of the Libraries, Archives and Museums management team. Under general direction of the Operations Manager, you will: serve as a go-to person for facility management, open and close the building Wednesday, Thursday, Friday, and Saturday, and manage building rentals. You will assist in compiling items in the building that are due to be recycled, put into surplus, or disposed of. You will assist in the acquisition of library materials, support the Talking Book Center, and help the Alaska Newspaper Project with microfilming.This position will serve on the building management team to assist with opening and closing the facility for evening, weekend, and weekday shifts as assigned by the building management committee. Occasionally, the incumbent may be asked to work evenings for special events. The desired work schedule for this position is Wednesday through Saturday, 7 AM to 5:30 PM. Alternate schedules which meet the opening and closing needs of the building may be available for well-qualified candidates. The Division of Libraries, Archives, and Museums (LAM) collects, cares for, and shares materials and resources that communicate the history and stories of Alaska to help promote lifelong learning for all Alaskans. The Administration Section handles budgeting, procurement, hiring, general building operations, and personnel processes to free the sections of Libraries, Archives, and Museums to focus on their functions necessary to meet this mission.Benefits of Joining Our Team

This position is located in the beautiful Father Andrew P. Kashevaroff (APK) State Libraries, Archives, and Museums Building in downtown Juneau. The APK is a striking base of operations. Our ideal applicant will possess some or all of the following knowledge, skills, abilities, and experience:

  • Experience with computerized accounting and reporting system. Experience with the State\'s accounting and reporting systems (IRIS and ALDER) is a bonus.
  • Familiarity with building systems, design documents, schematics and similar documents.
  • Experience ensuring the security of facilities or documents.
  • Ability to prioritize tasks efficiently while maintaining a high level of accuracy.
  • Experience with Microsoft office applications.
Minimum QualificationsSix months of advanced clerical experience. This experience includes work such as Office Assistant 2, Accounting Clerk, and similar classes with the State of Alaska or the equivalent with another employer.OR
Six months of any combination of post-secondary education, vocational education, and/or advanced-level clerical experience. (Three semester or four quarter hours of post-secondary education are equal to one month of experience; 150 hours of vocational education are equal to one month of experience.)Special Note:
Examples of advanced clerical experience include:-Reviewing complex or questionable applications or documents and searching files and regulations to determine accuracy of information to clarify applicant status; using judgment in applying criteria, rules, regulations, and policies; providing information to organizational unit staff on administrative processes and procedures; tracking expenditures; and completing necessary administrative paperwork according to regulations.
-Composing letters and memoranda; completing and reviewing forms for completeness and accuracy using readily available information from multiple sources and established guidelines and procedures. Examples of such tasks include time sheets, appointment paperwork, or required drug testing notifications for employees in positions requiring possession of a valid Commercial Driver\'s License (CDL).Additional Required Information**NOTE: PLEASE READ THE FOLLOWING CAREFULLY**
