The Administrative Assistant position exists to provide general administrative support to various departments. In addition to supporting the senior management team, this position may act as a receptionist for the facility during normal business hours.
Duties and Responsibilities:
Essential duties and responsibilities include but are not limited to those listed below:
Performs receptionist duties to include answering and directing incoming telephone calls; accepting deliveries of mail, Federal Express and UPS; and greeting and making arrangements for visitors
Supports departments by providing administrative support as necessary to include making meeting arrangements, coordinating travel arrangements, placing conference calls, organizing materials for meetings/presentations, coordinating staff meetings (compiling notes as needed); preparing formal correspondence, etc. This level of support may be extended to the senior management team as needed
Coordinates employee activities and events as needed to include monthly/quarterly recognition of various employee accomplishments and employee outings
Initiates and tracks purchase requisitions (requires knowledge of GL accounting codes).
Maintains accurate files for the senior management team as needed
Maintains and prepares reports, spreadsheets and other records as required on a daily, weekly, monthly basis
Processes identification badges company-wide for all new employees and contractors, requiring coordination with all field locations and corporate

Education/Experience:
The qualified candidate must possess 2-3 years related administrative experience (performing the tasks listed above). A high school diploma (or GED equivalency) is required. Experience in the cable industry and/or financial department is preferred.
Must possess excellent communication skills (both verbal and written). Must be able to communicate effectively with all levels of employees.
Must be able to maintain strict confidentiality in dealing with all documents, files, conversations, etc.
Outstanding organization skills are required, with demonstrated ability to effectively handle multiple priorities and tasks.
Must be able to effectively utilize resources to facilitate problem resolution.
Computer Skills:
Must possess strong computer skills, with proficiency in Microsoft Office (Outlook, Word, Excel and PowerPoint).
