Summary:

Our award-winning client is seeking an Administrative Assistant to join their team. As an Administrative Assistant, you are the key to processing real estate transactions in Southern California. You\'re the human link between our process and people. You\'re there at the beginning, middle, end to ensure that the transaction is completed efficiently and accurately. You\'re working with agents and branch staff to keep the process moving forward and to assure accurate commission disbursement to our agents.

Responsibilities:

Knowing the intricacies of the transaction from beginning to end, ensuring that it is closed in a timely, efficient and error-free manner. You\'ll capture wiring information, upload closing documents, and resolve discrepancies.

Devoted to detail: Verifying all paperwork is complete and accurate; following up with agents and branch office staff for any missing closing documents.

Following the money: Working with Title and Escrow companies regarding commissions payments. You\'ll also process sales transactions in the company accounting system to generate commission disbursement authorizations. Additionally, you\'ll support or escalate all relocation related checks/payments/ commissions questions.

Satisfying customers: providing outstanding customer service to agents, branch managers, office assistants and other employees from other departments via phone and email with a high level of speed and accuracy. Point of contact to resolve agent commission questions and/or disputes; escalates as needed per situation

Multi-tasker, highly organized, being able to work a large number of transactions with numerous agents simultaneously under deadline pressure

What we want you to have:

Education: High school diploma or GED.

Previous work: 3-5 years experience in an office environment. Prior experience in the real estate or mortgage industry is preferred.

Computer skills: Proficient in Microsoft Office suite applications; able to use in-house operating systems.

Data entry: Strong, accurate data entry experience; solid math aptitude with exceptional attention to detail, accuracy and follow-up.

Time management: Excellent organizational skills, with attention to detail; committed to following up to achieve results with speed and accuracy; able to work independently and remotely

Communications skills: Strong written and verbal skills to keep agents, escrow, title, and all other parties up to date with the process and work with them to resolve issues. * Payment processing: Basic Math skills including the ability to calculate commissions payments.
