JOB TITLE: Administrative Assistant DEPARTMENT: Administration DIRECT REPORT: Director of Housekeeping FUNCTION: Responsible for performing general office functions as directed and ensure hotel quality standards are achieved and maintained. RESPONSIBILITIES: \xc2\xb7 Responsible for working with all departments to ensure Guest & Employee Satisfaction. \xc2\xb7 Processing and distribution of daily mail, FedEx . \xc2\xb7 Purchasing of all office supplies as per standards. \xc2\xb7 Maintain and log office supply inventory. \xc2\xb7 Maintain management calendars. \xc2\xb7 Assist with Lost & Found. \xc2\xb7 Update Comment Card Log weekly, monthly. \xc2\xb7 Type and send correspondence for the management team. \xc2\xb7 Take and document messages for the management team when required. \xc2\xb7 Relieve PBX Operator for breaks. \xc2\xb7 Will be involved in different projects for management team. \xc2\xb7 Will support the management team and must be able to prioritize work load according to deadlines. \xc2\xb7 Responsible for mail delivery to departments & all outgoing mail. \xc2\xb7 Arrange travel and accommodations for management team. \xc2\xb7 Create presentations for management team. \xc2\xb7 Coordinate management events. \xc2\xb7 Practices the WinStar World Hotel Culture and ensures all cultural expectations are implemented and regularly practiced. \xc2\xb7 Supports hotel\xe2\x80\x99s training needs and efforts. \xc2\xb7 Responsible for performing \xe2\x80\x9cother duties\xe2\x80\x9d as assigned by management. GROOMING/UNIFORMS: All employees must maintain a neat, clean and well-groomed appearance. Specific uniform guidelines and/or required articles of clothing will be explained to you as a part of the orientation process. REQUIREMENTS: \xc2\xb7 High School diploma or equivalent. \xc2\xb7 Must have a minimum of 2 years of office experience. \xc2\xb7 Hospitality experience preferred. \xc2\xb7 Must speak, read and write English. \xc2\xb7 Hospitality Experience preferred. \xc2\xb7 Excellent written & verbal communication. \xc2\xb7 Strong analytical, problem solving & organizational skills. \xc2\xb7 Ability to multitask in fast paced demanding environment. \xc2\xb7 Microsoft Office skills required. \xc2\xb7 Able to meet deadlines. \xc2\xb7 Must maintain confidentiality at high levels. LICENSES OR CERTIFICATES: \xc2\xb7 Ability to obtain any certifications, licenses or permits that may be required by law or company Regulations. SKILLS & TECHNICAL EXPERIENCE: \xc2\xb7 Ability to understand and perform all office procedures. \xc2\xb7 Must be proficient in excel, word, power point, publisher. \xc2\xb7 Multi lined phone system. \xc2\xb7 Mail and shipping systems. \xc2\xb7 Calculator, Copy machine, fax, scanner, binding. \xc2\xb7 Must be able to recognize potential safety hazards and security problems in the hotel and act upon each immediately. \xc2\xb7 Ability to read, write and understand English. \xc2\xb7 Must be able to recognize potential safety hazards and security problems in the hotel and act upon each immediately.
