Job Description

Hillwood Estate, Museum & Gardens seeks an experienced

Administrative Assistant

to support the Executive Director's Office. This role is critical in ensuring smooth daily operations, maintaining schedules, coordinating meetings, and managing administrative functions with precision and confidentiality. The ideal candidate is detail-oriented, organized, and professional, with a passion for museum operations and long-term career growth.

Essential Duties & Responsibilities



Provide administrative support, including filing, phone screening, maildistribution,and document creation using Microsoft Office and Tessitura. Manage scheduling and Outlook calendars, preventing conflicts and aligning with the Executive Director's agenda. Oversee conference room reservations and meeting logistics, including setup, AV, catering, and coordination. Maintain confidential records and files, ensuring discretion and security. Submit and reconcile travel and entertainment expense reports for the Executive Director. Manage SharePoint's "Employee Site", maintaining organizational charts, staff directories, and institutional documents. Organizing board and committee meetings, managing documents, and supporting strategic initiatives. Research and compose, contribute to the quarterly neighborhood newsletter, and foster community engagement. Support the Development and Membership departments by drafting correspondence, executing data entry, and attending meetings. Order and maintain office and breakroom supplies for the organization.

Qualifications & Requirements



Education:

High school diploma or equivalent; Associate's degree or formal training in a related discipline preferred.

Experience:

3+ years in an administrative role, preferably in a museum or non-profit setting supporting a senior-level manager.

Technical Skills:

Proficiency in Microsoft Office (Word, Excel, PowerPoint, SharePoint), Outlook, and experience with Tessitura preferred.

Key Competencies:

Exceptional organizational skills, attention to detail, discretion in handling confidential information, and strong communication abilities.

Work Environment:

Primarily on-site at Hillwood's NW D.C. campus
