Job Description


PotomacWave is looking for an Administrative Assistant to join our team supporting a Federal client in Washington, DC. This position provides office management functions, such as maintaining office file systems, updating Excel spreadsheet data, answering and referring calls, preparing and filing correspondence, providing security escort duties in secure facilities, and entering information into office databases and websites.

Responsibilities:

  • Maintaining filing systems by preparing, editing, and filing correspondence.
  • Scheduling conference rooms.
  • Performing calendar tracking.
  • Facilitating clearance processing for visits to the office.
  • Assigning and monitoring action items to suspense dates.
  • Making travel arrangements for senior leaders.
  • Reviewing materials and documents for accurate spelling, punctuation, capitalization, grammar, required formats, and style requirements.
  • Recommending and implementing new or changes in administrative policies, procedures, and office practices.
  • Providing guidance to junior team members and advise on general office practices and problem solving.
Qualifications:
  • A high school diploma or equivalent is required, an Associate\'s Degree is desired.
  • Knowledge in basic foundation of administrative concepts and practices.
  • Knowledge in record keeping systems to provide full clerical support.
  • Experience using standard office product software (i.e., Access, Outlook, Word, Excel, and PowerPoint).
  • Experience developing and typing standard correspondence and performing document editing.
  • Experience preparing material for use in public speaking engagements and materials for conferences.
  • Experience answering and referring phone calls forward to the appropriate contractor(s).
  • Experience working in a secure, government environment.
  • The ability to communicate effectively both orally and in writing with management and staff at the highest levels of the Department, external government officials, and private industry.
  • The ability to perform multiple tasks simultaneously.
  • The ability to produce a wide range of reports, graphs, charts, and documents requiring the use and integration of software functions to enhance office productivity.
  • The selection of an individual for this position may be conditioned upon his or her successful completion of a counterintelligence-scope polygraph examination.
  • Must have an active TS clearance.
