Description

The purpose of this job is to provide administrative and management support with general supervision to the Airport Art Program. This Analyst works under the direction of the Sr. Airport Planning Manager. Duties include but are not limited to maintaining exhibits and installations; issuing purchase orders and payments for department supplies and services; compiling and preparing information necessary to produce periodic reports within set deadlines; collections management; and administrative support functions. Performs reporting and analysis work in support of departmental research, performance reporting, operations management, and departmental operations. Designs and prepares reports by accessing databases or by consolidating data from multiple sources. Lays out report formats and produces reports. May summarize data and provide commentary or observations based on analysis. Position does not perform data entry. Sources of data may be enterprise systems, complex spreadsheets, databases, etc. requiring specialized expertise or training. This position may also perform other related administrative or operations tasks within the organization.

Essential Duties * Support Art Program in its primary functions, which include:

a. Identify sites or opportunities where art and artists may be incorporated;

c. Manage and coordinate the commissioning of site-specific artworks on a day-to-day basis;

d. Schedule site and artist studio visits;

e. Manage and enhance the rotating exhibitions for the Youth Art Galleries;

f. Manage and enhance the rotating exhibitions for the Atrium Gallery;

g. Manage and enhance the rotating exhibition program for the airport\'s many display cases/spaces;

h. Manage and enhance the performing arts program including the five music festivals;

i. Maintain an inventory of the airport\'s art collection;

j. Interface with local, state and national arts organizations, galleries and private collectors for the purpose of procuring art and artifacts for rotating exhibitions in the airport\'s various display case areas;

k. Develop artist contracts and loan agreements;

l. Develop and disseminate Request for Qualifications or Proposals and Call for Artists;

m. Survey all airport artworks to identify those requiring special maintenance, restoration and conservation and arrange for the necessary maintenance services on an annual basis.

n. Serve as the liaison between the artists, city agencies, project architect, engineers, construction manager and contractors;

o. Act as a liaison to other city agencies, county, and state arts programs as necessary;

p. Track eligible Percent-for-Art monies and projects to ensure that the Department of Aviation allocates funds to the appropriate account for use;

q. Plan and organize receptions and dedications for art projects when appropriate;

r. Develop and disseminate material to promote Airport Art projects and artist commissions. After projects are completed and installed, the Art Program Manager(s) will coordinate with the Marketing and PR division to develop a media release. If a dedication is desired, the Art Program along with Marketing and PR will develop a program for the dedication.

• Administrative Duties:

a. Organizes and prepares necessary documents to assist with production of budget, insurance, and training reports. * Directs the process of ordering and paying for office supplies and needed services.

• Prepares time-keeping documents, daily schedules, and appointments, coordinates meetings.
• May type transcribed letters and memoranda.
• May attend, review, and monitor legislative committee meetings.
• Processes, manages, advises, and instructs the supply and equipment purchases for an assigned department.
• Sorts and prioritizes incoming mail, as assigned.
• May make travel arrangements for superiors.
• Enters data into the computer system pertaining to departmental daily revenue and activities, and other governmental agencies, policies and procedures.
• Assists in the administration and review of contracts and compliance with the requirements of those contracts.
• Types routine forms, reports, correspondence and notices; answers telephone and directs messages and calls to appropriate persons; maintains files and records in the computer system, micro film and hard copy files.
• Assumes responsibility for maintaining accuracy of assigned operating records and/or databases.
• Identifies processes or reporting functions that do not provide the necessary level of completeness, detail, or accuracy. Designs standard report formats based on organizational needs for information.
• Retrieves and summarizes data from various information systems for inclusion into research or operating reports.
• Writes queries in the appropriate reporting language.
• Reviews monthly operating statistics and operating data and prepares operating reports.
• Participates in internal and external research projects by collecting, reviewing, and summarizing results.
• Generates reports, presentations, graphics, forms, and other documents to demonstrate information flow and project results. May make presentations of periodic reports or special projects to organizational management.

Knowledge, Skills & Abilities

Knowledge of the field of public art, including contemporary trends and practices in the field. Ability to innovate new approaches for public art projects. Ability to administer Art Program procurement needs related to price quotation, requisitioning, purchase orders and invoicing. Demonstrated experience with all aspects of arts administration. Ability to form productive working relationships with artists, design and construction professionals, City officials and professionals within other agencies. Negotiation and consensus building skills around highly complex issues and situations. Ability to work with community stakeholders and facilitate their involvement in projects. Ability to work with diverse groups of people with differing goals and points of view. Ability to manage a multi-faceted workload with self-motivation. Outstanding skills in oral and written communication. Keen attention to detail and ability to self-audit work.
