The Department of Obstetrics and Gynecology is a School of Medicine academic/clinical department of approximately 40 faculty members, Volunteer Clinical Faculty, Staff Physicians, Fellows, Residents, and approximately 95 staff members. The department is responsible for providing research, education and clinical service.

Responsibilities

This position provides daily analytic and administrative support for the Department of Obstetrics and Gynecology staff and is a critical position within the department. This position will serve as an administrative contact person to the OBGYN Department Chair, Chief Administrative Officer, HR Manager and Management Services Officer, interacting with University administrators, faculty, fellows, residents, clinic personnel, staff, students and the general public. Incumbent will utilize independent judgement to prioritize tasks and respond to the needs of the faculty and staff; effectively communicate in person, by telephone and in writing; plan, organize, evaluate situations, make decisions, adjust priorities, work independently, and respond with flexibility to requests for assistance in problem solving. The incumbent will have the knowledge of and ability to interpret University and UCDHS policies and procedures regarding travel, reimbursements, purchasing, promotions/merits, and medical staff procedures.

  • Excellent interpersonal and oral communication skills to effectively and professionally communicate in person and on the telephone. Demonstrated investigative skills to elicit information needed to clarify inquiries and requests, work effectively and democratically with constituents from diverse cultural backgrounds and perspectives, and foster a climate of cooperation and teamwork with co-workers.
  • Ability to work with computers and knowledge of, or ability to learn, computer programs including, but not limited to: Windows; Lotus Notes; MS Office including Word, Excel, Access, PowerPoint; MylnfoVault, lnvision and others.
  • Understanding and knowledge of administrative policies and procedures including deadlines, standards, forms, academic personnel policies, staff personnel policies, accounting, and payroll matters. Ability to effectively interpret policies and communicate to faculty and staff. Knowledge of UC and UCDHS policies preferred.
  • Possess excellent written skills to independently compose correspondence, minutes, and summaries in a comprehensive, organized manner using initiative and analytic skills. Editing skills to prepare letters, manuscripts, lectures and reports for final copy. Proofreading skills to locate and correct typographical and statistical errors.
  • Ability to communicate efficiently and effectively (both orally and in writing) with all levels of academic, administrative, clinical, and staff personnel within the School of Medicine, Campus, Medical Center, and outside agencies, institutions, and private industry.
  • Skills to plan, organize and implement large events and meetings.
  • Ability to maintain multiple schedules and calendars of faculty and/or staff simultaneously. Ability to resolve scheduling conflicts.
  • Ability to maintain confidentiality, exercise discretion, use independent and mature judgment, handle sensitive information and difficult situations.
  • Ability to appropriately establish workload priorities. Ability to effectively organize and prioritize workload responsibilities while maintaining and meeting deadlines.
  • Ability to work independently with minimal direction.
  • Proven collaborative skills to participate actively as part of a team and work cooperatively and effectively with administrative personnel and faculty.
  • Ability to maintain composure while working on multiple projects, conflicting priorities, heavy workloads, and demanding deadlines.
  • Ability to evaluate systems and procedures and to design process improvement programs.
  • Strong analytical skills with proven ability to analyze and interpret data and policies and the impact of such policies on Department and School administration and operation.
  • Demonstrated knowledge of medical and scientific terminology.
  • Foster a positive team environment with faculty and staff. Ensure a professional office image.
  • Adheres to work schedule; begins work promptly and takes breaks appropriately.
Special Requirements
  • Must possess valid California state driver\'s license. This position will pick up deliver items to various locations for faculty meetings and other important events which may require vehicle.
  • Must be able to work a flexible work schedule and occasional overtime. Must be able to work under pressure with rapidly changing priorities. Must have the ability to communicate professionally in person, by email and by telephone with a variety of individuals. Be able to work in an area where there is constant traffic and possess sufficient stamina to maintain departmental attendance. Must be able to lift items weighing as much as 20 pounds.
This position may be subject to a criminal background investigation, drug screen, Live Scan fingerprinting, medical evaluation clearance, and functional capacity assessment.
