Job Description




Summary

Performs customer service work by establishing accounts, communicating policies and procedures to the public, answering questions and solving problems. In addition interprets, applies and explains the regulations, policies and procedures of the Department of Motor Vehicles (DMV) as it pertains to the licensing, registering and titling of vehicles, motor homes and trailers.

Essential Duties and Responsibilities

Customer Service Representative (80%)

  • Processes initial information for providing services; sets up new services for construction, commercial, and residential customers; transfers existing services and coordinates with other departments when necessary
  • Responds to inquiries and concerns, assists in resolving account problems, receives payments and credits to correct customer accounts
  • Balance and post daily receipts for accounts receivable; prepares daily bank deposits; reconciles deposits; prepares adjustment entries for accounts
  • Processes, reconciles, and collects delinquent accounts
  • Processes weekly bank drafts and collects local occupancy tax funds
  • Performs other duties as assigned
License Plate Agent (20%)
  • Processes title applications from individuals, dealerships and businesses; determines appropriate forms required for each transaction; ensures accuracy and completeness of paperwork
  • Processes renewal applications, ensures accuracy and completeness of applications; processes duplicate titles, permits and handicap applications; completes changes in vehicle registration
  • Computes property taxes and fees and collects payments
  • Receives, counts, stores and secure license plates, license plate stickers, blank forms and other supplies
  • Reconciles transactions and money received; prepares and makes banks deposits; ensures state deposit is certified with IMS
  • References NCDMV manual and consults with State Department of Motor Vehicles as necessary
  • Performs other duties as assigned
Required Education and/or Experience

High School Diploma or GED; at least three years customer service related experience

Preferred:

License plate experience; experience with accounting and spreadsheet software

Special Requirements
  • Valid N.C. driver\'s license and acceptable driving record
  • Notary Public
Knowledge, Skills, and Abilities
  • Considerable knowledge of the City\'s policies, procedures and practices related to services available, collections and billing, and resolving customer service issues
  • Thorough knowledge of the north Carolina Department of Motor Vehicles rules, regulations, and laws
  • Ability to understand and interpret laws, rules, and regulations pertaining to the issuance of motor vehicle operation and ownership documents
  • Skill in operating office machines required in the job such as automated cash register, computer, printer, calculator, copy machine, FAX and other machines
  • Skill in performing mathematical computations with speed and accuracy; working accurately with money, checks, data and figures
  • Ability to deal effectively with the public in a highly tactful and courteous manner
  • Ability to communicate effectively in oral and written form and follow established policies and procedures
Physical Requirements

Must be able to perform sedentary work exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects. Must be able to physically perform the basic life operational functions of stooping, reaching, standing, walking, fingering, grasping, feeling, talking, hearing and repetitive motions. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels. Must possess the visual acuity to prepare data and statistics, count and inspect monies, checks and other instruments, operate a computer terminal, calculator and credit card terminal and make visual inspections.

Working Conditions

Work is performed in an office with a controlled environment without exposure to harmful conditions.
