Job Purpose
The Event Captain reports to the Sr. Sales & Event Manager of Event Services and is responsible for oversight of event operations for at least 60, and up to 80 annual events. With a focus on exceptional customer service, the Event Captain acts as the direct liaison for event clients and coordinates with DCPA staff and contracted vendors to ensure the successful implementation of events. The Event Captain will work within a number of venue settings, supporting events that are contracted as well as events that support the mission of the Denver Center for the Performing Arts.
Duties and responsibilities
Primary Responsibilities: Follow and maintain Banquet Event Orders (BEOs) that include the event timeline, floorplans, scheduled labor, decor, lighting, and production/audiovisual needs.
o BEOs, timelines, event estimates and timelines are created by Event Managers and shared prior to the event day.
o Conscientious of DCPA operational practices & procedures to protect DCPA facilities, assets, and equipment.
o Considerate of efficient event strike and cleaning processes in anticipation for future events. Oversights and support for contracted vendors and staff throughout set-up, during event and strike.
o Direct contact for event Vendors, Coat Check, Maintenance, Security, Engineering (HVAC & escalator) and Firefighter as needed.
o Review and understand scheduling of event load-in/ load-out for vendors and event set-up/strike with Event Manager and Logistics Manager.
o Liaison to Theatre Co. House Management and AITSE labor as needed. Production and Floor Manager during events, overseeing program, front of house and back of house operations.
o Review and understand event program, helping to ensure a successful rehearsal as needed and oversee stage management as needed.
o Collaborate with Technical Manager and Technical Lead on technical staff needs and client requests. Direct contact from client to technical staff in booth.
o Ensure event technical staff has reviewed and tested all items to determine their accuracy, proper formatting and audio levels during event and/or rehearsal.
o Liaison to presenters, ensuring they are prepared for effective presentations, including sound systems check and full rehearsals when needed.
o Partner with Event Manager on delivery of event media, scripts and show flow information. Effectively manage issues as live events progress in real time, prioritizing event needs while providing creative solutions.
o A thorough understanding and be prepared to assist with aspects of event risk assessment and crisis management.
o In the event of a crisis, emergency or fire alarm, the Event Captain serves as Crisis Team Leader for any event space within the Helen Bonfils Theatre Complex and may evacuate the event space as needed.
Secondary Responsibilities: Attend weekly event production meetings to review all event details for upcoming events and recap past week's events (virtually or in-person).
Foster and build client relationships to ensure returned business.
Post-event responsibilities:
o Provide event evaluation, equipment uses recaps and client/vendor feedback.
o Communicate all necessary follow-up with sub-contractors, vendor partners and clients to Event Manager.
o Completion and distribution of post-event reports, photos and equipment use reports in a timely manner.
Skills
As the staff/vendor liaison and primary client contact - excellent listening and communication skills are a must. The development of respectful, stable, and trusting relationships with clients, planners and inner-departmental teams is essential.
Ability to guide, influence and motivate event support teams.
Technical, audiovisual and stage management knowledge is preferred for both small- and large-scale events.
o Knowledge of production and audiovisual terminology as it applies to staging, sound needs, lighting, video, rigging, screen ratios and ADA requirements. Ability to stage manage the production portion of an event "show" by calling stage cues is preferred to ensuring all technical and production staff are directed from the same timeline and script.
Patience and the ability to remain calm in stressful situations.
First Aid and CPR Certification.
Strong computer skills, with knowledge of Microsoft Office, including Excel, Word, PowerPoint and Outlook.
Qualifications
A minimum of two years of experience in events or related field is required.

An emphasis on accuracy and thoroughness with business acumen; supported by skills in critical thinking and a proactive approach to problem solving.
An ability to work a flexible schedule is needed, including mornings, nights and weekends. This position requires self-motivation, organization and strong project management skills. As the Event Captain you will be responsible for overall event operations, program production logistics, event-day needs, along with staffing, and vendor coordination.

Working conditions
This position operates in a professional events venue environment during regular business hours in addition to nights and weekends. This role routinely uses technology specific to this role such as radios and clear coms, as well as standard office equipment such as computers, phones, and photocopiers in addition to technology specific to this role. The possibility of operating in a remote environment on certain days may be an option.
Physical requirements
While performing the duties of this job, the employee is regularly required to talk or hear, and consistently communicate over the radio, clear com, phone, email and in person throughout scheduled shift, in addition to spending long/extended periods in motion. The employee frequently is required to move around the work environment and office, use hands to handle or feel; and reach with hands and arms, lift at least 50 pounds, and react quickly, specifically when directing attendees as mapped out in emergency plan. Ability to spend long/extended periods of time on feet.

Compensation
$26.00 - $28.00 hourly.
