Job Description


As an Event Operations Coordinator, you will be responsible for supporting the planning, execution, and post-event processes to ensure seamless onsite operations and event production. This role will also focus on overseeing the day-to-day operations of our events warehouse. The ideal candidate will demonstrate strong problem-solving skills, the ability to manage inventory and logistics efficiently, and work collaboratively with internal teams and vendors to deliver successful events.Ready to get in the driverxe2x80x99s seat?   • Oversee all warehouse operations, including receiving, organizing, and distributing event materials and equipment.
  • Support event project management needs - ensuring timelines and event checklists are communicated and tracked.
  • Manage inventory systems to ensure accurate tracking of all event related items.
  • Support various event administration needs including PowerPoint presentations, budget updates, COI /vendor management and contract submissions.
  • Assist with all on-site event operations, including setup, execution, and breakdown.
  • Support post-event evaluations, including gathering feedback and assisting with reports on event performance and improvements.
  • Research and negotiate with event vendors, submit RFPxe2x80x99s, and finalize contracts.
  • Supervise the packing and preparation of event supplies, ensuring accuracy and adherence to event timelines.
  • Troubleshoot and resolve on-site issues promptly and effectively during events.
  • Maintain the cleanliness, safety, and organization of the Hagerty warehouse facility.
This Might Describe You
  • A strong desire to be helpful with a solution-oriented mindset.
  • Ability to lift and move heavy equipment, as well as operate warehouse machinery such as forklifts (certification is a plus).
  • Strong communication and writing skills. You must be outgoing, friendly, and relatable. Must be comfortable interacting with people.
  • Problem-solving mentality with the ability to remain calm under pressure.
  • A solid working understanding of modern computers (Windows or Macintosh) and common productivity software (Microsoft Word, Microsoft Excel, Google Docs). Excellent web browsing skills (Chrome, Firefox, Safari) and ability to research online.
  • Excellent time management skills - you must have the ability to batch work, juggle competing priorities to meet deadlines.
  • Flexibility to work irregular hours, including evenings and weekends as event schedules require.
Other things to note
  • This position requires the candidate to work from our events office based in Traverse City, MI.
  • Familiarity with public company requirements, including Sarbanes Oxley and key regulations, if applicable. For SOX compliant roles, responsible for designing, executing, and documenting internal controls where they have been identified as owners to prevent errors in financial reporting, processes, and business operations. Including attestation to the completeness, accuracy, and compliance of all financial reporting data, where applicable.
