Position Title: Executive Assistant & Board Liaison

Reports To: CEO

Location: Hybrid = Some days required to be at BGCP Admin Building, 8203 SE 7th Ave, Portland, OR 97202. Other days remote.

Classification: Full-time/Salary

Salary: $55K - 65K Annually

BGCP is currently searching for an Executive Assistant & Board Liaison. Reporting directly to the CEO, the Executive Assistant & Board Liaison functions as a liaison to the Board of Directors and Executive Leadership Team (ELT) on behalf of the CEO. The Executive Assistance & Board Liaison also supports the CEO and manages the administrative office. The Executive Assistant & Board Liaison works at the intersection between the CEO, Executive Leadership Team, and Board of Directors and must exercise good judgment in a variety of situations, display strong written and verbal communication, administrative, and organizational skills, and demonstrate the ability to maintain a realistic balance among multiple priorities. The Executive Assistant & Board Liaison must be creative and enjoy working within an environment that is mission-driven, results-driven and community oriented. The Executive Assistant & Board Liaison will have the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

Roles and Responsibilities:

Board Liaison
  • Serves as the CEO\'s administrative liaison to the Governing Board, Associate Board, & Pacesetters.
  • Coordinates Board & Committee meetings (i.e. meeting polls, calendar invites, etc.).
  • Manages board operations matrices (i.e. rosters, contact information, terms, prospects, etc.).
  • Coordinates board stewardship and appreciation activities (i.e. birthdays, service milestones, etc.)
  • Maintains meeting minutes for general board meetings, finance committee, and governance committee meetings.
  • Assists the CEO in preparation for board and committee meetings (i.e. meeting coordination, visuals and presentations, and meeting packets).
Executive Leadership Team Liaison
  • Participates as an adjunct member of the Executive Leadership Team.
  • Tracks and manages CEO\xe2\x80\x99s CRM matrix (Constituent Relationship Management).
  • Supports CEO and VP of Marketing & Development on executing the overall donor stewardship plan.
CEO Support & Office Management
  • Coordinate CEO Calendar.
  • Complete CEO expense reports.
  • Sign key documents for CEO (when necessary).
  • Maintain centralized filing system and key organizational documents.
  • Maintain master organizational calendar.
  • Manage vendor contracts for admin office (i.e. phones, copier, cleaning services, etc.).
  • Order office supplies.
  • Manage phone system, in-bound office calls and respond to voice messages.
  • Pick up mail and distribute to appropriate admin departments.
  • Maintain cleanliness and organization of admin office.
  • Supports CEO on special projects and other duties as assigned.

  • Demonstrates the ability to prioritize conflicting needs; handle urgent matters expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Demonstrates the ability to organize and coordinate office administration and procedures, to ensure organizational effectiveness, efficiency, and safety.
  • Demonstrates creativity, skill, and proficiency with synthesizing information toward designing visuals and presentations.
Education and Experience Requirements
  • Bachelor\'s degree preferred.
  • Strong work tenure: 3 to 5 years of experience supporting C-Level Executives, preferably in a non-profit organization.
  • Experience and interest in internal and external communications, partnership development, and fundraising.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms).
  • Proficient with various project management tools and applications.
