Job Description


The Grants Management Specialist, works under general supervision, plans and coordinates the day-to-day, administrative, and operational activities of grant and contract management for research and research related subawards received and issued by the College. The Specialist will have overall responsibility for the preparation, negotiation, and management of outgoing and incoming subawards, and their respective amendments that are issued to subrecipients. Such subawards may originate from prime federal or non-federal grants, cooperative agreements, public and private contracts, local government agreements, state agency agreements, non-profit organization agreements, and vendor related agreements. This position will also have a key role in the distribution of grant opportunities from as well as the submission of grant applications to Health Resources and Services Administration (HRSA), the Electronic Handbook and the Substance Abuse and Mental Health Services (SAMHSA), and other sponsor agencies.

This position also provides budgetary administrative support and compliance oversight activities for grants and contracts. Such activities include conducting fiscal control measures in the form of subaward budget reviews and approvals. Other duties typically include working with faculty and staff for high level grant planning, submission and administration.

Daily Operations

  • Assists faculty members in preparing subaward and contract applications. Assists with budgets, interpreting sponsors\xe2\x80\x99 instructions, and applying Meharry Medical College\xe2\x80\x99s financial and administrative requirements to the process of contract development.
  • Reviews outgoing contracts to ensure that they meet the requirements of the sponsor, Meharry Medical College, and regulatory agencies.
  • Prepares and maintains a variety of standard reports relative to contracts, subaward, and grants administration.
  • Assists with grant and/or proposal submissions, including uploading documents as appropriate, and adhering to the objectives and funding requirements of the College and sponsoring agency.
  • Assists with benchmarking, writing, publishing, and implementing outgoing subaward and subcontract policies, procedures, directives, and guides and to ensure established procedures are understood and followed.
  • Performs other related duties as assigned.
Required Skills
  • Keen knowledge and familiarity in the negotiation of sponsored research agreements with public and/or private entities.
  • Knowledgeable of regulations governing the administration of federal grants and contracts.
  • Ability to work independently. An individual, who pays attention to detail, is accustomed to a fast-paced environment with many deadlines, and who provides excellent customer service to a diverse community.
  • Excellent organizational, communication, negotiating and problem-solving skills; ability to interact with faculty, support staff, and external audiences from academia, and government;
  • Ability and/or familiarity with developing and negotiating agreements;
  • Demonstrated ability to make sound decisions and employ effective problem-solving skills, including strong analytical skills sufficient to conduct comprehensive analyses; an excellent track record in following through on details;
  • Must have excellent interpersonal skills; knowledge of and ability to assess the research culture at Meharry and the needs of the various constituencies both internally and externally; high energy, stamina, cheerful demeanor.
  • Ability to remain effective in completing tasks and projects with multiple priorities and varying degrees of complexity. Individual must be able to (1) work under pressure; (2) pay attention to detail; (3) be proactive in meeting mission critical deadlines; and (4) resolve difficult situations with professionalism.
  • Excellent written and oral communication skills.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, etc.) software is required. Familiarity with BANNER and/or Workday is preferred.
Required Experience
  • The minimum educational requirement is graduation from an accredited college or university with a bachelor\xe2\x80\x99s degree in business or science.
  • At least 5 years of full-time professional responsibilities as a contracts or grant administrator in a university research administration environment is requested.
  • Candidate must have strong administrative experience; negotiating and communication skills; and exhibit positive leadership qualities.
  • Demonstrated knowledge of federal policies governing the administration of grants, cooperative agreements, and contracts at an educational institution would be desirable.
