Position Summary:

We have an exciting opportunity to join our team as a Grants Manager.

The Grants Manager (GM) is responsible for pre and post award management of the grant portfolio within the Division of Infectious Diseases. The GM will work directly with Principal Investigators (PIs) and the Division Administrator in submission of grant applications. Other responsibilities include budget oversight and maintenance, subcontract management, reports to sponsors, compliance, daily administrative and operational requirements of assigned grants and contracts.
S/he will report directly to the Division Director and the Division Administrator.

Job Responsibilities:

  • Assist and lead special projects, as needed.
  • She is also the grants manager for this project and will be overseeing the overall network budget for the life of the award.
  • She aids in preparing the annual financial report, comparing actual spending to budget spending for each investigator and for the entire Network.
  • She is responsible for working with the administrative contacts from participating member institutions to confirm compliance with investigator budgets.
  • She works closely with the Lead Coordinator, in consultation with the Co-Coordinator in AMC, for communications to the FLQ related to modifications in personnel and the budget.
  • She coordinates all conferences and meetings for the network investigators and will be the point of contact for all junior investigators and their trainees. For matters concerning the submission of quarterly invoices, she serves as the direct interface between the network and the Foundation financial staff (working with financial coordinators from each of the five participating institutions to collect invoices and backup materials, reviewing for accuracy, compiling, obtaining approval and remittance to FLQ for payment).
  • In addition Network Administrative Officer for a transatlantic network grant/project sponsored by the LEDUCQ Foundation. In this capacity, she works with the Lead Coordinator to manage Network activities, organizes meetings, submits financial reports and progress reports, and communicates with FLQ about the Network program.
  • Oversee and manage all aspects of the pre and post award grant
  • Monitor all grants and contracts for compliance issues.
  • Strengthen external relationships with Sponsored Programs Administration (SPA) at NYU School of Medicine, and the grants administration at major affiliates.
  • Work in collaboration with Senior Grants Specialist.
  • In consultation with the PIs, develop annual budgets including federal and non-federal grants and contracts, and clinical trials.
  • Responsible for reviewing and completing all grant application packages in Click including detailed budgets, to ensure sponsor and institution are in compliance.
  • In collaboration with the Departments Finance Administration team, manage post award processes including activity related to closing out current grant budget year and initiating new budget year.
  • Responsible for the coordination and completion of annual progress reports on all awarded grants, including working with the Principal Investigators to provide revised budgets.
  • Alert Principal Investigators to grants that are expiring and prepare No Cost Extensions to establish extension on grants that have remaining fund balances. Work with CSC Finance to determine accurate estimated carryover balances and assists PIs in budgeting for remaining funds.
  • Closeout grants and contracts at end of award period.
  • Responsible for preparing prior approval forms.
  • Responsible for preparing Just-in-Time documents for NIH.
  • Ensures that personnel costs and OTPS are appropriately recorded in accordance with grant budgets and agency specifications.
  • As needed, determine if funds are available for all equipment, personnel and major purchases. Assure compliance with federal purchase and contract requirements.
  • Assist with Time and Effort Reporting.
  • Participate in the development and coordination of long-range plans and funding strategies for activities of assigned PIs.
  • Stay informed with federal (NIH in particular), state and other requirements, timelines and policy issues.
  • Improve grant tracking system with enhanced reporting capabilities.
Minimum Qualifications:

To qualify you must have a Bachelors degree and minimum of 3-5 years of specific experience in research grants management. Masters degree preferred.
Working knowledge of NIH and other federal, state and foundation regulations and requirements.
Demonstrated proficiency in Microsoft Office, Word, Excel, Access and Internet applications.
Ability to maintain extensive electronic documents and e-mail files.
Demonstrated ability to be organized and flexible in an environment which requires continuous monitoring of priorities.
Proven ability to meet deadlines.
Exceptional attention to detail and able to manage confidential information
Strong written and oral communication skills.
Highly goal oriented, self-motivated, and ability to work independently as well as in coordination with team.

Preferred Qualifications:

Masters degree preferred.

NYU Langone Health provides a salary range to comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $76,721.83 - $102,422.32 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
