The Administrative Assistant to the Facilities and Technical Services Director manages the reception desk for Facility Operations and serves as the primary contact for Members, staff, and vendors. Responsibilities are performed in a professional non-partisan manner, while providing excellent customer service. This is an in-person position Monday-Friday from 9 AM - 5 PM.
NATURE AND SCOPE: This position reports to the Facilities and Technical Services Director. The Administrative Assistant must possess exemplary written and oral communication skills, organizational and office management skills, as well as extensive technology skills with various applications. The individual should work well under pressure, without direct supervision, and maintain the ability to exercise initiative and good judgment.
PRINCIPAL ACCOUNTABILITIES:
1. Assisting Members, staff, and visitors as they enter the Facilities office. Answering telephones, receiving mail, and responding to emails in a timely manner.
2. Staying up to date with the Mackinac Room schedule and events, as well as sending this schedule to multiple departments on a regular basis.
3. Managing and updating the conference room schedule and checking in on the rooms throughout the day.
4. Processing work orders and assigning appropriate staff to complete them.
5. Maintaining Facility Operations and Technical Services schedule and time-off requests. 6. Other duties as assigned
Required Education and Experience
Applicant should possess a strong work ethic with 5+ years of experience in office management.
