Job Description


The Barre Unified Union School District is seeking an HR Assistant/Receptionist to support our HR Department and Superintendent\'s Office.The HR Assistant/Receptionist greets and provides direct service to callers, visitors, and guests of the central office by performing primary reception functions. This position also manages the initial intake of employment paperwork and processes background checks. The person in this role maintains a professional, friendly, confidential, and respectful work atmosphere and is an enthusiastic team player.Primary responsibilities include the following (other duties may be assigned): Related to Reception -- Answers incoming calls; greets, screens, and assists callers and visitors with various basic and specialized questions about procedures, schedules, background check requirements, board meetings, substituting, job vacancies, events, etc.- Greets and assists visitors and guests of the central office. Notifies appropriate staff members of the visitor(s) and routes visitors to appropriate staff members if available.

Re-routes/re-directs visitors if a staff member is unavailable or takes a detailed message.-Collaborates closely with school administrators and admin support staff. Works closely with the district\'s finance/payroll department. - Provides assistance and backup to the Executive Assistant for performing general clerical and administrative tasks as requested.- Assists with organizing and coordinating various activities/events, including arranging for all necessary facilities, staffing, scheduling, communications, and the like.- Organizes and maintains various departmental filing, record keeping, and reporting systems, including computer applications, to ensure efficient, up-to-date, and accurate maintenance and reporting of information.- Ensures computerized and paper files are organized, easily accessible, and understandable to enable others to perform backup coverage when necessary.- Orders and stocks appropriate levels of office supplies sorts, and distributes incoming and outgoing mail for the central office.- Maintains general knowledge and understanding of other departments within the BUUSD to answer basic questions effectively, to properly and efficiently direct callers and visitors, and to provide effective clerical support to other offices within the BUUSD.- Keeps abreast of relevant BUUSD policies and procedures, employee handbooks, and master agreements; assists in assuring compliance with routine policies, procedures, and master agreement provisions.Related to Background Checks -- Collects all new employees, volunteers, substitutes, student teachers, temporary/seasonal workers, and walk-in background check paperwork and processes paperwork using state resources.- Updates BUUSD databases in accordance with established procedures.- Collects and manages fees associated with the background check process, vouchers, and payment of invoices.- Maintains secure files of background check information/results.Related to Substitutes -- Collaborates with the Hiring Coordinator to effectively navigate the substitute hiring process to ensure that district policies, procedures, and operating practices are consistently followed.- Maintains and coordinates the substitute list.- Collaborates with the Benefits and Leave Manager to assist with AESOP, the substitute management system.Position benefits include: Medical and dental insurance, 403B plan with employer contribution, as well as vacation, sick, and personal time. Pay range is $19.88 - $25.09, based on applicable experience.
