Eastern Illinois University is seeking candidates for a full-time, Human Resource Representative. In this role, you will be the primary point of contact for Student Employment Services for Eastern Illinois University and provide general HR Administrative support to the Human Resources department. This includes onboarding, HRIS entry, personnel file management, and other Employment related services to ensure compliance with University policies and state/federal laws. This position provides exceptional service by promoting a positive, inclusive work environment that enhances the experience of faculty, staff, and students. With a focus on professionalism and effective communication, the HR Representative plays a key role in fostering a productive and supportive campus culture.
Essential Duties and Responsibilities:
Professional & Proactive Communication:
Serve as the primary point of contact for student employment inquiries, providing clear, timely, and professional guidance to student employees, hiring departments, and University staff. Ensure consistent communication regarding policies, processes, and employment expectations.
Student Employment Guidance:
Develop and maintain proficiency in Federal Work-Study programs, student employment eligibility, and hours requirements. Partner with University departments to facilitate efficient student hiring, onboarding, and termination processes in compliance with EIU policies and federal regulations.
New Student Employment Paperwork
: Ensure all student employment paperwork is completed accurately and promptly, including I-9 documents and verification of employment eligibility. Maintain compliance with federal, state, and University policies regarding employment documentation.
Data Management & Compliance:
Accurately enter, update, and maintain student employment records in the Banner HR system, ensuring data confidentiality and integrity. Monitor compliance with University and regulatory guidelines related to employment records, to include auditing student employment total hours worked and notifying managers on applicable topics where appropriate.
Student Employment Mailbox:
Proactively monitor and respond to inquiries in the assigned student employment mailbox, ensuring prompt and accurate resolution of questions.
HR Administration Support:
Process employee directory updates, including name, address, and phone number change requests. Complete employment verifications, manage general HR incoming/outgoing mail distribution, and assist with other administrative HR tasks to support operational efficiency.
Continuous Process Improvement:
Identify opportunities to improve student employment processes and administrative workflows, contributing to enhanced efficiency and compliance. Participate in HR team meetings and collaborate on departmental and University initiatives.
Perform Other Duties as Assigned:
Support the success of the HR department and contribute to EIU's mission by performing additional responsibilities as assigned.
Minimum Qualifications:
1. High School graduation or equivalent.
2. Any combination totaling two years from the following:
Progressively more responsible work experience maintaining, monitoring, and/or processing human resource records, reports, and duties.
College course work in human resource administration, business administration or closely related field, as measured by the following conversion table or its proportional equivalent:
30 semester hours equals one year.
90 semester hours equals two years.
Knowledge, Skills and Abilities:
Knowledge of customer service principles and office procedures.
Strong attention to detail and ability to perform repetitive tasks accurately.
Excellent communication skills, both verbal and written, for a professional audience.
Ability to manage confidential information with discretion and interpret work-related policies.
Familiarity with state and federal employment laws, and ability to stay current with changes in regulations.
Work Hours:
The core work hours of this position are Monday - Friday, 8:00 a.m. - 4:30 p.m.
Salary/Pay Rate Range:
The starting pay rate for this non-exempt Civil Service position is $20-21/hr.
