SUMMARY

Are you a strategic problem-solver with outstanding project management and interpersonal skills looking for an exciting environment in which to apply your expertise? The Exploratorium is seeking a dynamic professional with a proven administrative background and exceptional communication skills to support the Chief of Staff and the Executive Director\xe2\x80\x99s Office. The Manager of the Executive Director\xe2\x80\x99s office is responsible for the administrative management of the office of the Executive Director, including a portfolio of institutional-level projects and initiatives and a newly adopted strategic plan. The successful candidate will be adept at balancing a high-level view of project goals with the details of execution, and have expertise in designing systems and processes for managing multi-year projects and initiatives. This position will manage complex projects across the institution with minimal supervision and must have the maturity and confidence to collaborate with and manage the work of senior leaders, to work directly with the Executive Director, and to manage external consultants and advisors. The Manager, Office of the Executive Director will work directly with and reports to the Chief of Staff.

ESSENTIAL FUNCTIONS

Executive Office Management

  • Manage and administer all activity necessary for the successful implementation of the Exploratorium\xe2\x80\x99s new Strategic Action Plan, including monitoring goals, budgets, timelines, success measures, risks, and team activity.
  • Manage, in collaboration with the Chief of Staff, the work of the Leadership Cabinet, including meeting cadence and agendas, calendaring, note taking, action item follow-up, information sharing, and decision tracking.
  • Manage the production of the quarterly report, dashboard, and presentation for Board of Trustees meetings.
  • Co-develop and oversee the execution of specific Executive Office events, such as high level meetings, external appearances, retreats, and advisor meetings.
  • Act as an operational and strategic thought partner to the Chief of Staff.
  • Work with the Chief of Staff to drive forward projects, initiatives and efforts that are emergent.
Budget and Administration
  • Manage the Executive Office Budget.
  • Manage budgets for EDO Office projects and initiatives.
  • Develop, manage, and maintain administrative and organizational systems, processes, and tools, including timelines, task lists, databases, project management software, and project documentation that support the work of the Executive Director\xe2\x80\x99s Office and the Leadership Cabinet.
Communication and Collaboration
  • Act as a representative with both internal and external stakeholders.
  • Facilitate communication with stakeholders across the organization, including the fundraising, marketing, and communication departments.
  • Liaise and collaborate with the PR/Communications department on internal and external activities and projects requiring the Executive Director\xe2\x80\x99s participation.
  • Serve as administrative liaison with external organizations, governmental agencies, contractors, community partners, and individuals involved programmatically or contractually in an EDO project or effort, and ensure administrative needs are met.
  • Other duties as assigned.
MINIMUM QUALIFICATIONS
  • BA/BS degree or equivalent combination of education and experience
  • 5-7 years\xe2\x80\x99 experience leading and managing projects, including complex projects with multiple partners; preferably in an informal education, non-profit art or science, or research and development environment
  • Proven track record managing multiple projects concurrently, and multi-year projects with budgets $1M+
  • Advanced computer, troubleshooting and problem solving skills: Microsoft Word and Excel, Google Suite, cloud-based budget software such as Adaptive Insights, and Basecamp or other project management applications; experience with issue tracking software such as JIRA a plus
  • Superior knowledge of project management fundamentals, and demonstrated ability to translate budget, timeline, scope for project leadership, team members, and stakeholders
  • Demonstrated experience developing planning and budget scenarios as well as tradeoff and risk analyses; strength in toggling between high-level and detail
  • Track record for detail-oriented, timely, and consistent performance of duties
  • Excellent organizational, interpersonal, and communication skills; Strong facilitation skills
  • Experience collaborating with senior leaders
  • Talent for collaboration and effective teamwork

HOW TO APPLY
