Managing Editorial Assistant, Berkley (Open to Remote) Berkley, an imprint at Penguin Random House, seeks a Managing Editorial Assistant to join its team. The assistant's role would be to provide administrative and managing editorial support for an Executive Managing Editor on an impressive list of commercial fiction focusing on romance, mystery, thrillers, and suspense. This position offers the opportunity for growth and to learn about the overall managing editorial process and the inner workings of a publishing office.

Daily responsibilities include all-around project support in the creation of a list of over 300 titles a year. Working together as a team, the Berkley Managing Editorial department tracks various pieces of the schedules for manuscripts, cover design, and marketing materials to ensure that each manuscript becomes a finished book out in the world, considering everyones needs and negotiating a process that works for everyone. Given that, this job is an exciting opportunity to get an overview of the publishing process and act as a point of contact with various departments across Berkley, including but not limited to editorial, production, design, and marketing.
The Managing Editorial Assistant should be highly motivated, superbly organized, and enthusiastic about publishing. We are looking for a detail-oriented, meticulous self-starter who enjoys commercial fiction and is invested in the process of bringing them to a wide readership, has strong analytical skills, communicates clearly, and will be an active participant in a collaborative team. The ideal candidate will manage a diverse set of responsibilities efficiently and effectively and is comfortable asking for help when needed.

The Role:

  • Routing and tracking jacket and cover copy materials to other departments for approval and maintaining due dates in the database
  • Maintaining the schedule for weekly cover meetings with the Art and Editorial departments, creating agendas, coordinating materials, and keeping notes
  • Reviewing titles up for reprint and compiling lists of cover and text corrections needed
  • Watermarking files for editorial, marketing, publicity, and others as requested
  • Assist in tracking Netgalley schedules
  • Updating data in SAP and the FileMaker Pro database as needed
  • Providing general administrative support to the Managing Editorial department, keeping a department calendar, backing up colleagues, and assisting with special projects as needed

The Essentials
:
  • Exceptional attention to detail, proofreading skills, the ability to prioritize, and strong follow-up skills
  • Excellent written and verbal communication skills
  • Ability to work both independently and collaboratively and meet deadlines, take initiative, and problem-solve creatively
  • A team player with the ability to build relationships with other departments. A collaborative spirit is essential.
  • Superb organizational and time management skills
  • Outstanding ability to manage multiple priorities in a deadline-driven environment
  • Solutions-focused when met with challenges and can comfortably adapt to changes and anticipate needs when needed once familiar with the role of a Managing Editorial Assistant
  • Proficiency with Microsoft Word, Excel, and Outlook
  • Familiarity with the Chicago Manual of Style
  • Familiarity with FileMaker Pro, InMotion, Adobe Acrobat Pro, and/or SAP a plus

The salary for this position is $48,000. Full-time employees are eligible for our comprehensive benefits program.
