Summary
The Office Coordinator is responsible for promoting a positive and organized work environment in the Brick Bodies / Planet Fitness Corporate Office. The Office Coordinator will greet all visitors, answer phones, and provide general administrative support to the corporate office staff. This position reports to the Sr. HR Generalist and is part of the HR Department staff.
Essential Job Functions
Greet all visitors, vendors, and staff;
Answer main telephone and direct calls or take messages when necessary;
Manage and oversee telephone systems and service, including voicemail and message on hold recordings;
Order office supplies from vendors such as Staples and Amazon;
Manage and maintain all office equipment and fixtures, arranging for repairs when needed;
Manage conference rooms and meetings schedules;
Set up/breakdown of staff meetings in conference rooms;
Coordinate office birthday celebrations, lunches, and meetings and send birthday and recognition cards;
Support and assist with quarterly and yearly staff events;
Retrieve, sort, and distribute office mail and arrange for mail pick up;
Purchase kitchen and food and bathroom supplies;
Maintain indoor and outdoor plants and holiday decorations for the office;
Arrange for and manage cleaning service for office;
Arrange for maintenance of outside groundskeeping including mowing, plowing, and trash removal;
Manage company monthly newsletter by gathering information from regional teams and coordinating with the designer/editor;
Assist departments such as Human Resources and Accounting/Finance with special projects and/or administrative needs including, but not limited to obtaining invoices for monthly bills, and inputting into accounts payable system assigning codes and locations;

Education & Experience
High School Diploma or G.E.D. preferred;
Proficiency in all Microsoft Products, including Excel, Word, Outlook, PowerPoint; Teams, Monday.com; and,
At least one year experience with administrative duties.

Physical Environment & Requirements
Primarily indoor environment with normal exposure to light, sound, heat, and cold;
Frequently sitting with minimal walking, standing, bending, stooping, kneeling, crouching, grasping, and reaching;
Must be able frequently move, lift, push, pull, carry at least 30 lbs.;
Minimal exposure to standard cleaning fluids and chemicals;
Must be able to recognize, identify, and judge behavior within environment; and,
Must have the ability to communicate information and ideas so others will understand and must be able to exchange accurate information.
