The name of the company is confidential until 5/30/2024. Position Overview: We are seeking an Office Manager to join our leadership team. The Office Manager will be responsible for administrative work spanning bookkeeping, employee/benefit administration, and general administrative support. S/he must be adept at working efficiently, with confidence and competence. Successful candidates have excellent attention to detail, concern for the exact correctness of work, a strong commitment to tasks completed on time, and an propensity for creating or improving systems and processes. What You\xe2\x80\x99ll Do: Bookkeeping
Manage day-to-day bookkeeping, including A/R, payroll, journal entries, and bank reconciliation
Accounts receivable: create and send customer invoices; follow up on unpaid invoices
Collect and enter data for weekly payroll; ensure accurate and timely payroll processing, including deductions, benefits, and taxes, while complying with federal and state regulations
Maintain an orderly financial filing system and ensure the confidentiality and security of all files
Coordinate with the company\xe2\x80\x99s CPA/tax advisor as needed
Employee/Benefit Administration
Ensure accurate employee record-keeping and effective documentation management; track employee compliance with company policies & procedures, and federal, state, and local employment laws/regulations
Timely and confidential responses and action in response to employee inquiries and concerns
Assist with posting positions, organizing applicants, and setting up interviews with the management team
Coordinate employee onboarding, including company & HR policies, payroll and benefit administration
Administer employee benefits programs, including health, retirement, and wellness initiatives
Collaborate on the development and implementation of People & Culture initiatives
General Administration
Perform clerical duties such as filing, data entry, and file/record maintenance
General office administrative tasks, including but not limited interacting with customers and vendors
Completing assignments within occasionally tight deadlines
Who you are:
Strong organizational skills with a proven ability to prioritize tasks and follow through effectively
Ability to work independently, with attention to detail, a high degree of accuracy, and minimal supervision
Strong communication skills with ability to build rapport and trust inside and outside the organization
Comfortable confronting employees to ensure compliance with policies/procedures/laws/regulations
Demonstrated ability to handle sensitive and confidential information with discretion and professionalism
Excellent organizational and problem-solving skills with a proactive and solution-oriented mindset
High degree of flexibility and an aptitude for learning new skills and systems
Ability to maintain a high degree of discretion and confidentiality
Requirements:
Five (5) years of experience as an office manager, people & culture manager, bookkeeper, or other similar role
High degree of organization, attention to detail, precision, accuracy, and timely follow-through
Aptitude for learning new skills and systems, and ability to adapt to changing priorities
Ability to maintain a high degree of discretion and confidentiality
Strong problem-solving skills, and experience developing internal systems and processes
Works well under pressure while maintaining a high level of professionalism
Commitment to maintaining a professional and positive work environment
Excellent verbal and written communication skills with a customer service mindset
Preferred
Proficiency with modern software for office, accounting, payroll, and/or HR
Degree or certificate in Business Administration, Accounting, Human Resources, or related field
Knowledge of employment laws, regulations, and HR best practices
Experience working with contractors/tradesmen in construction or contracting industries
Familiarity with electrical and/or construction terminology
