Office Manager - Janitorial Company - Oahu In-State Applicants Position Overview:
We are seeking a reliable and detail-oriented Office Manager to support our janitorial company located in Oahu. The Office Manager will play a key role in overseeing the daily operations of our office, coordinating administrative tasks, managing supplies, and ensuring the smooth functioning of our janitorial operations. This position requires strong organizational skills, excellent communication abilities, and a proactive approach to problem-solving. The ideal candidate will have prior experience in office administration in the janitorial or cleaning industry.
Responsibilities:
1. Office Operations Management and Operations Support

  • Supervise and coordinate daily office activities, ensuring efficient and effective operations.
  • Manage office supplies inventory and place orders as needed.
  • Maintain and update records, databases, and company files.
  • Schedule and coordinate meetings, appointments, and travel arrangements for staff.

2. Administrative Support
  • Assist with the recruitment and onboarding process of new employees, including collecting and reviewing necessary documents.
  • Coordinate and oversee the invoicing, billing, and collection processes.
  • Prepare reports, memos, and other relevant documents as assigned.
  • Answer and direct phone calls, emails, and correspondence.

3. Communication and Relationship Management
  • Serve as a liaison between operations/office, field staff, and clients.
  • Ensure prompt and professional responses to client inquiries and complaints.
  • Maintain regular communication with vendors, suppliers, and contractors.
  • Foster positive and productive relationships with internal and external stakeholders.

4. Safety and Compliance
  • Oversee workplace health and safety procedures, ensuring compliance with company policies and relevant regulations.
  • Maintain accurate and up-to-date records of safety trainings and certifications for employees.
  • Assist with the implementation and maintenance of quality assurance programs.

Requirements:
  • High school diploma or equivalent; college degree in business administration or a related field is preferred.
  • Minimum of 2 years previous experience in office administration in the janitorial or cleaning industry.
  • Excellent organizational and time management skills, with a keen attention to detail.
  • Strong written and verbal communication abilities, including professional phone etiquette.
  • Proficiency in using Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office management software.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
  • Familiarity with safety and compliance regulations in the janitorial industry.
  • Valid driver\'s license and reliable transportation.
Physical Requirements:
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift 15 pounds at times
