Job Description


Overview:
Reed Charters LLC is actively seeking an experienced Office Manager to join our Defense Policy Review Initiative (DPRI) consultant team based in Honolulu, Hawaii. You will play a crucial role in supporting the identification of facility requirements, logistics management, and Military Construction (MILCON) coordination efforts for the Marine Corps.

Work Location
The Office Manager will be located at our worksite in Honolulu, Hawaii.

Position Responsibilities include but are not limited to:

  • Plan, direct, and manage executive programs in support of DPRI actions.
  • Coordinate office business functions, including report submissions and protocol activities including visiting high ranking military and civilian, national, and foreign officials.
  • Manage and track visit requests, make travel arrangements, and prepare vouchers in the Defense Travel System (DTS).
  • Serve as reviewing official and Organizational Defense Travel Administrator in DTS.
  • Support Team Leads in developing briefs, correspondences, and planning documents.
  • Lead data management of DPRI documents to ensure version control, and organization.
  • Establish and streamline office procedures to enhance day-to-day services.
  • Analyze and evaluate outgoing correspondence for completeness and accuracy.
  • Enforce protocol policies and procedures and ensure compliance.
  • Serve as DPRI Information Systems Coordinator and handle IT-related functions.
  • Perform general research and analysis and provide ad-hoc support as needed.
  • Support local Security Manager functions in JPAS, Physical Security, and Classified Areas.
Qualifications and Experience We Require:
  • Ability to obtain a DOD security clearance.
  • At least three (3) years of experience using the Defense Travel System (DTS) proficiently.
  • At least three (3) years of experience preparing and/or proofreading documents in accordance with the Naval Correspondence Manual, or equivalent DoD Service Manual.
  • Five (5) years of experience in office management and administration in an executive-level office setting, to deliver a full range of administrative services.
  • Strong organizational skills and ability to work independently with minimal supervision.
