The Office Manager will organize and coordinate office administration and procedures to ensure program effectiveness, efficiency, and safety. An essential function will be to communicate effectively with the Director, staff, and families of current and prospective students.
Description of Overall Duties
Provides administrative support to the director and staff.
Ensures that the program is in compliance with Hawaii DHS licensing standards, OSHA regulations, and NAEYC accreditation
Responsible for identifying and tracking specific program issues and concerns and clarifying the overview for other staff members.
Serves as a primary administrative contact for families and staff.
Description of Duties
Program
Assist Director and staff in keeping all required information regarding licensing, accreditation, and compliance updated and available for inspections/review
Maintain and update all office files and information necessary for compliance
Stay abreast of updates and changes issued by regulatory bodies
Be available and possess necessary qualifications to provide classroom support in substitute capacity when necessary
General
Answer incoming phone calls, physical mail, and emails
Maintain calendar of events, schedules, meetings, etc
Maintain files and availability of forms/program information
Maintain and provide support for office equipment
Keep office space organized and tidy for use by staff for meetings, conferences, etc
Organize office supplies and manage requests by staff.
Job Requirements
Proven skills in office administration or clerical experience.
Proficient in Google Suite and various online platforms.
Knowledgeable in Quickbooks Online.
Prior experience in early childhood education field (preferable) or school setting.
Knowledge of regulatory standards, both state and federal (preferable).
Physical Requirements
This position may include prolonged periods of sitting and working on a computer. Must be able to lift 30 pounds, at times.
Personal Qualities
The ideal candidate should have confidence in conflict resolution and strong critical thinking skills.
This position requires the ability to be flexible and adapt to frequent changes. Must be able to problem solve and remain level-headed during emergency situations. Must be reliable, organized, and communicate effectively.
