As the Office Manager, you will play a crucial role in overseeing all administrative work and office support/services, ensuring the smooth operation of our Phoenix office. Providing administrative support to the Phoenix Office and all its staff.
Performing confidential administrative work, coordinating schedules, and directing the office routine.
Managing Phoenix office vendors, suppliers, and all site-specific billing and payments.
Managing support required for compliance reporting and records retention.
Organizing employee events.
Providing back-up/overflow support to the Accounts Payable function.
Creating reports and communication, as needed by managers.
Providing administrative support to Commercial and Business Development through support of presentations, meeting minutes, and other documents.
Providing executive administrative and planning support for Management Committee meetings.
Reviewing and editing materials for internal and external presentations; polishing presentations.
Functioning as site liaison between Capital Power Corporate and on-site security and janitorial services.
Liaising between Capital Power Corporate support functions (i.e. IT group) and site.
Maintaining records and files at the facility; manages indexing and document scanning according to retention policy.
Managing branded item orders such as clothing, business cards, golf balls, etc.
Orders supplies for office and maintains kitchen supplies.
Maintains copy machine and fax machine including physical maintenance and upkeep of machine, calling for service as needed, submitting meter reads and ordering supplies.
Organizing catering for office lunches.
Coordinating travel arrangements for staff.
Assisting and/or preparing expense reports for employees.
Documenting administrative procedures for all tasks and any other general office operating requirements
What you will bring to the role:Education:
Completed High School Diploma.
Experience and Technical Skills:
Experience and skill equivalent to that gained through successful performance as an administrative assistant.
Strong Microsoft Office, Oracle, Maximo and other software skills.
Proven integrity and ability to maintain confidentiality.
Strong written communication skills (verbal and written).
Excellent cross-functional collaboration skills.
Ability to work independently and prioritize responsibilities across multiple functions.
Can successfully manage ambiguity.
Demonstrates a high performance, high discipline, safe, accountable, focused, innovative, and achievement-oriented, easy to do business with manner of working.
Working Conditions:
Hybrid office position, working position from our downtown Phoenix office, with possible very minimal travel to meet business users at Capital Power facilities or other offices.
Additional Details: The pay range for this position is $63,360 to $73,216. The specific rate will depend on the successful candidate\xe2\x80\x99s qualifications and prior relevant experience. This position is eligible for health care benefits, retirement benefits, paid time off, and annual bonus.
