Initial placement for new employees is customarily at entry level through 35% percentile. Pay grade for this position is 12.The work schedule for this position is M-F, 7am-4pm.General Definition of Work:
Performs intermediate skilled support work performing a variety of office, administrative, and/or technical tasks for the Fleet Maintenance Department. Work is performed under regular supervision.Examples of DutiesEssential Functions/Typical Tasks:
Responsible for ordering supplies, parts, maintaining inventory records, storing/retrieving materials, receiving/inspecting packages received, shipping/returning items and equipment for repair, and performing inventory checks. Assists with shop operations by processing work orders, assisting technicians with diagnosis, service procedures and related information, transporting vehicles and equipment for repairs, and creating work orders to ensure proper scheduling cycles; maintains files and prepares reports.(These are intended only as illustrations of the various types of work performed.   • Provide general oversight of the inventory of the Fleet division
  • Assists mechanics in verifying parts needed.
  • Order parts from vendors for fleet vehicle repairs and stock. Locate and order specialized parts for all Cabarrus County rolling stock and associated equipment. Receive incoming parts from vendors
  • Distribute parts to technicians and keep inventory up to date. Transport of parts and supplies as needed. Travels to vendors to pick up parts and materials and transports vehicles to dealers and service shops
  • Source parts from multiple vendors to ensure the best pricing. Determine the best sourcing for uncommon or rarely used parts to ensure timely turnaround of repairs. Researches the availability and costs of parts for special orders, receives stocking orders, and verifies invoices.
  • Enter parts into inventory and/or bill to vehicle work order as appropriate.
  • Keep track of parts turnover to help eliminate unnecessary and obsolete parts.
  • Fill vehicle parts and supplies requests from outside departments.
  • Assists mechanics by assembling parts for equipment and diagnosing charging and starting systems.
  • Receives parts, label, stock, and enter into inventory system.
  • Monitors, controls, and maintains computer inventory system and inventory items.
  • Manage inventory, perform quarterly and annual inventory counts. Maintain an appropriate inventory of standard and specialized parts and supplies for repairs of all vehicles.
  • Analyzing parts usage and making proper adjustments to parts inventory levels.
  • Maintains cleanliness and organization of the parts storeroom, tire storage, and fleet parts truck and maintains equipment and supplies.
  • Verify warranty of parts based on mileage, age, and use.
  • Allocate P-card purchases when monthly statement is received; enter work orders for vehicle repairs.
  • Reconcile P-card statements with work orders and invoices.
  • Communicates and coordinates billing and payment with the Finance Department.
  • Processes purchase orders, payment vouchers, and invoices which includes preparing and reviewing documentation; securing necessary approvals; and maintaining appropriate records.
  • Allocate parts used on vehicles and technician labor hours to work orders on computer.
  • Verify accuracy of invoices by comparing invoices to parts received.
  • Close work orders in computer system when repairs are completed.
  • File closed work orders.
  • Assists with issuance of fuel cards to employees for County vehicles.
  • Schedules use of County rental vehicles for charges and use.
  • Locate vehicle schematics including parts diagrams, wiring diagrams, and repair information for technicians.
  • Performs a variety of general office functions to provide administrative support including answering and directing calls, greeting visitors, preparing documents and forms and compiling information and creating reports.
  • Maintains records by developing and implementing filing methods.
  • Assist with processing, receiving and sorting office mail.
  • Assists with maintaining office supply inventory by monitoring stock levels and placing orders with vendors when needed.
  • Serves as backup to the Fleet Department Program Specialist.
  • Performs other duties as assigned.
Knowledge, Skills and Abilities:Thorough knowledge of the availability and procurement of automotive equipment parts and supplies, inventory and related accounting procedures, repair and maintenance of automotive equipment, general office operations including filing techniques, customer service techniques, basic accounting principles, automotive tools and materials , fleet repair and maintenance. General knowledge of business mathematics. Ability to operate standard office equipment; ability to plan and work independently, ability to establish and maintain effective working relationships with associates, vendors, and supervisors; skill in the operation of personal computer equipment and related software; strong communication and interpersonal skills.Minimum Education / Experience requirementsEducation and Experience:Requires graduation from high school and experience working with automotive parts and inventory. An equivalent combination of education and experience may be accepted.Special Requirements:Requires possession of an appropriate driver\'s license valid in the State of North Carolina.
