Summary:
Under the general supervision of the Food & Nutrition Purchasing Coordinator, and according to established policies and procedures, receives, and processes materials and supplies. Verifies deliveries by reviewing received packages against packing slips, receiving slips, purchase orders, etc. and completes receiving reports. Loads and unloads material within the receiving, warehouse or storage area. Utilizes hand truck(s), power pallet jacks, or other handling equipment and stores or delivers material according to established procedures. May maintain inventory of materials, supplies and/or equipment for distribution to Hospital departments or for use by a specific department and may participate in the ordering and inventory process.
Responsibilities:
Unloads bulk supplies from loading dock using hand and electric lift trucks.
Receives materials and verifies contents by reviewing against packing slips, receiving slips, purchase orders and etc.
Unpacks supplies and visually checks contents for damaged items. May break down bulk quantities into requisition sizes.
Stores supplies in proper area according to established systems, with particular attention to items\xe2\x80\x99 specific storage or security needs (e.g. refrigeration, freezer).
Maintains stock areas in clean and orderly manner. Assures that inventory items are rotated as necessary, with attention to perishables and/or items with utilization or expiration dates.
Notifies supervisor of items/products that need to be taken out of service (i.e. wrong product, expiration date, damaged.)
Receives and fills requests for materials by authorized personnel, following established procedures. Identifies, counts and may weigh items. May deliver completed orders to other areas of the department, or the hospital. Continuously monitors consumption of supplies against stock on hand and anticipated shipments. May recommend change in timing of special and standing orders to assure adequate supply of all necessary items. May assist supervisor in preparing orders.
Interacts with vendors to check or expedite delivery of orders, or regarding the return of merchandise.
Maintains logs of materials received on-hand and issued, as well as related files of purchase orders, charge information, vendor information etc.
Performs other related duties such as answering telephone, relaying messages, conducting stock audits and reconciliations, cleaning work areas, photocopying and sending faxes.
The F&NS stock clerk is responsible for all materials needed for each location, and is required to load and deliver individual trucks.
Must be aware of surroundings due to handling of large amounts of inventory of goods and food safety needs.
Interacts with the Purchasing Coordinator or designee for ordering, delivery dates and possible delivery times. If any questions, assists the purchasing coordinator or designee where possible.
Monitors temperatures and condition of freezers/refrigerators frequently throughout the day. If any issues should occur, notifies Purchasing Coordinator or designee who then decides on necessary action. May be directed to make a service call.
Responsible for keeping refrigerators, machines and other areas clean according to the most current Rhode Island Department of Health Food Code 2007 regulatory standards and expectations of the department/Purchasing Coordinator or designee. Uses all cleaning products appropriately per Material Data Safety Sheet (MSDS).
Demonstrates knowledge of food quality and safety bringing to the attention of the Purchasing Coordinator or designee products that do not meet specifications.
Uses First in-First Out (FIFO) system to ensure food quality noting dated products needing removal before expiration dates.
Participates in HAACP/Food Safety Management guideline maintenance for food safety per expectations of the department.
Completes daily/weekly/monthly inventories with accuracy and enters data as required in software system.
Attend department and other training as necessary for job enhancement as assigned.
May be asked to perform other duties as deemed necessary by the supervisor.

BASIC KNOWLEDGE:
The level of knowledge generally obtained through completion of High School is required, or the equivalent.
Ability to operate loaded hydraulic and hand trucks. Must achieve and maintains the Lifespan equivalent to the National Safety Council Pallet Jack Certification every three years.
Ability to read and write English and to perform basic arithmetic computations to verify shipments, complete charge information, perform stock reconciliations and enter data as appropriate.
Clerical ability to maintain files and records of weekly reports and enters data in software systems.
Interpersonal skills to exchange information with vendors, chef, supervisors, and department employees and hospital employees during receiving processes and employees requiring assistance through F&NS Customer service skills needed to work with the public.
Self-starting ability and ability to work independently performing with minimum supervision.
EXPERIENCE:
Minimum of 3 to 6 months experience in ordering or receiving in related field (i.e. food industry: restaurant, supermarket) preferred.
WORK ENVIRONMENT AND PHYSICAL REQUIREMENTS:
Prolonged standing and walking, moderate to heavy lifting (75 pounds plus) and pushing in order to unload, store and distribute materials. Repetitive bending, reaching and twisting.
Exposed to dust and dirt from packaging, and messes on and in machines.
Exposed to fluctuating temperatures of both receiving dock and in house refrigerators/freezers
(-10F.) to warm and cold.
Receives and delivers wash and sanitizing chemicals.
Adheres to hospital and department care and service standards.
