Position Summary:
Provide direct administrative support to staff members and clients, manage all aspects of screening and onboarding new clients, maintain the firm calendar, and participate in the successful operation of a busy estate planning law firm.
Role and Responsibilities:
Receive calls from prospective clients and conduct initial screenings.
Schedule client appointments and help maintain the firm's calendar.
Greet visitors in a professional and friendly manner.
Work in and with multiple software platforms simultaneously.
Perform receptionist duties, including answering phone calls, taking messages, and redirecting calls as necessary.
Handle copying, scanning, file management, and general office organization.
Assist attorneys and staff with administrative tasks.
Maintain a clean and organized reception area and conference room.
Perform daily opening and closing tasks.
Requirements:
Proficiency with computers and ability to quickly learn new software programs.
Ability to work with multiple types of software simultaneously.
Outstanding time management and organizational skills.
Excellent written and oral communication skills.
Friendly and professional attitude and enjoy working in a busy office environment.
Must be a team player and contribute to a drama-free workplace.
Professional dress, demeanor, and appearance required.
