Come join the Prince George\'s County, Office of Human Resources Management (OHRM) team! This role will be instrumental in helping OHRM improve and streamline processes and procedures that support a positive work environment for our employees.

In this position, the Retirement Assistant III (HR Assistant III, G17) will work within the Pensions and Retirement Services Division on a variety of projects and HR initiatives. The OHRM team is centered upon inclusivity, creativity, and finding ways in which our actions improve business processes and help meet the diverse needs of our workforce. The work performed by the Employee Retirement Assistant III is essential in process improvement, Retirement Services Support, Pension Benefit Payment Processing Support, Payroll and Procurement Assistance as well as coordination of HR-led meetings, and program administration.

Under supervision, this position performs a variety of accounting duties in the maintenance and review of accounting, financial, and statistical records; provides responsible clerical staff assistance to the Divison; and performs related work as required.

Work performed includes but is not limited to: data entry, electronic filing, routing information and forms, personnel records management, letter review and mailing, scheduling of events and calendaring, customer service, and general HR office support.
Successful candidates will possess customer service and communication skills coupled with the ability to multitask various administrative assignments. This position requires a high level of attention to detail and accuracy on work tasks, great organizational skills, and the ability to meet tight deadlines and prioritize and complete multiple critical requests. A good sense of humor is important, as is the capacity to be flexible and to change direction at a moment\'s notice.

Successful candidates will be able to complete complex tasks and projects quickly with limited guidance, react with appropriate urgency to situations that require a quick turnaround, be able to take effective action without having to know the total picture, and efficiently and proactively solve difficult or complex problems that affect staff inside and outside the division. The ability to utilize tact and diplomacy in accomplishing all these tasks is critical.

About the Pensions and Retirement Services Division: A division within the Office of Human Resources Management (OHRM), the Pensions and Retirement Services Division is responsible for the administration and management of the County\'s four (4) comprehensive public safety and seven (7) supplemental defined benefit plans. These plans cover more than 6,000 active employees and 5,000 retirees. In addition, the Division has oversight of the more than $2 billion in invested assets and the County\'s voluntary defined contribution plan. The Division provides educational opportunities to assist employees in making informed decisions about their retirement options.

Examples of Work

Examples of Job Duties:

  • Manage administrative functions for the Pensions and Retirement Services Division and respond to routine inquiries regarding Pension Employee Health Benefits Plans, Maryland State Pension, Supplemental Pension, and Comprehensive Pension Plans.
  • Draft and/or review correspondence, and update and maintain visual management tools. Order supplies and equipment, finalize registrations, and assist in coordinating logistics and payments for travel, trainings, and webinars.
  • Process pension plan changes in the Pension Gold system. Inputs and verify retirement data to ensure accuracy of the monthly pension checks. Maintain HR databases and electronic filing systems, and prepare reports from databases.
  • Manage meeting logistics for section staff as needed, including assisting with the coordination and administration of the Medical Advisory Board (MAB) and the Disability Review Board (DRB). Including sending meeting appointments, making room reservations, configuring meeting rooms, securing and arranging audio/visual equipment, and running online meetings. Coordinate the preparation of agendas and other information for a variety of meetings; prepare meeting minutes/notes. Participate in coordination of events and activities including outreach and retirement events, staff team-building events and retreats, and other events as needed.
  • Create and implement Retirement-focused information guides and/or streamlined information systems that help inform employees on required policies and procedures and available resources. Collaborate with other division administrative staff on events, announcements, and key communications updates.
  • Conduct pension briefing session for New Employee Orientation Program (NEOP)
  • Processes retiree death/survivor benefits
  • Performs quality checks on submitted retirement applications and benefits entered for payment.
  • Maintain confidentiality in working with sensitive personnel information.
  • Update external websites. Work with HR Manager and analysts to proactively identify needs and revisions. Work with others to develop, maintain, and manage web pages.
  • Manage internal MS Teams sites. Create and Manage MS Teams folders, content, and permissions as needed.
  • Serve as backup for ordering supplies using purchasing cards for various funds and payment requests. Utilize the County\'s online SAP system to order supplies from the County warehouse, verifies vendor numbers, and check the status of payments.
Qualifications

Minimum Qualifications

Associate\'s degree from an accredited college or university in Human Resources/Personnel Management, Organizational Development, Business/Public Administration, Psychology, or closely related field; plus one (1) year of experience providing technical human resources support in the areas of retirement services, pension benefits payment processing, and payroll and procurement assistance; or an equivalent combination of relevant education and experience.

Highly Competent Candidates Will Also Have:
  • Experience working with confidential records and/or archives
  • High level of computer proficiency with Microsoft Office Suite, as well as Adobe products. Must be proficient with internet and intranet usage and management of electronic documents.
  • Proficiency in facilitating Microsoft Teams and Zoom video meetings that include collaboration tools of breakout rooms, whiteboards, etc. Ability to investigate, learn, and facilitate other remote collaboration tools where appropriate.
  • Ability to work independently and in a team environment. Establish and maintain effective working relationships with other staff. Work with and adjust priorities based on input from multiple sources.
  • Skilled in project research including but not limited to web research, data collection, and spreadsheet management.
  • Ability to maintain composure and professionalism during stressful times.
  • Positive, proactive, and able to have fun at work and help others do the same.
