Position Summary
The primary purpose of the position:
The Customer Support Coordinator (CSC) will be the primary interface with the customer and the HTSF. This includes but is not limited to fielding phone calls and emails and answering questions; coordinating consults with prospective clients and various HTSF staff; developing quotes for HTSF services; responding to client inquiries/revisions of quotes; managing submissions of materials to HTSF; sample drop off and check-ins; sample storage and archiving; return of materials to clients; and client notifications and communications as work proceeds. The CSC will aid management in the tracking and billing of work completed by HTSF. This will require close coordination with HTSF resource managers and leadership, PIs/technical staff, and clients. The CSC will monitor and track client submissions as work proceeds utilizing the internal HTSF data management system (TracSeq). This delivery of QC data of material is submitted and processed to the client for approval to continue processing or other actions as appropriate. Additionally, the CSC will send notifications for project status updates, review and approve submissions, generate reports as needed by staff and studies, and make submission processing updates in Tracseq. The CSC will also assist the Tracseq IT staff with developing improvements to the system functionality. The CSC will update and maintain the internal workflow pipeline by utilizing databases such as TracSeq and Monday.com. The CSC will assist management in communicating any issues pertaining to the studies\xe2\x80\x99 progress in weekly meetings with HTSF Leadership. The CSC will also coordinate new SOP development, update current SOPs, and maintain SOP training records.
Hybrid Schedule: Most work will need to be done on-site. It will also allow for some tasks to be done remotely, so there is a hybrid component to the position.
Minimum Education and Experience Requirements
Associate\xe2\x80\x99s degree and 2 years of healthcare administrative experience.
Required Qualifications, Competencies, and Experience
Required Skills: Associate\xe2\x80\x99s degree or higher, in a relevant field. The candidate must have excellent verbal and written communication skills and excellent attention to detail. Demonstrated ability to work in a high-pressure and in a multitasking, diverse environment. The candidate must work well in a team and should also be able to work independently. Strong organizational skills are essential for this role. The candidate must be able to diagnose and resolve problems. Must be proficient with MS Word and Excel.
Preferred Qualifications, Competencies, and Experience
Preferred Qualifications: BS degree in Biology or another related biological science. 2 years laboratory experience. Experience managing or providing customer service to a lab services or related company or University Core. Experience with large data management tools (LIMS), database software (such as Access), and PowerPoint. Must be flexible in schedule, and collaborative, yet able to work effectively with a high degree of independence.
