About This Position:
We are looking for a Health Concierge to provide excellent customer service and administrative support to our team and practice members. In this role, you'll be working closely with our naturopathic practitioner and health coach to ensure smooth, efficient operations for our wellness clients. Your tasks will range from managing client communications--such as emails, phone calls, and appointment scheduling--to assisting with wellness programs, memberships, and events.
The Health Concierge plays a vital role in delivering a high-touch, high-quality experience for both potential and active clients, ensuring they are supported at every step of their wellness journey. Key Responsibilities Include:
Administrative Duties
: Managing client communications (email, phone, reschedules, and cancellations), scheduling appointments, processing receipts and superbills, and assisting with program coordination.
Client Communication
: Responding to client inquiries, follow-up communications, reminders, and confirmations with emotional intelligence and attention to detail.
Client Onboarding and Offboarding
: Smoothly onboard new clients to wellness programs and memberships, ensuring all forms and documents are completed. Support clients in transitioning to VIP memberships, and offboard clients after successful program completion.
Technology Use & Systems
: Use tools like Elation, Fullscript, and Rupa to manage client data, supplement orders, lab results, and appointment scheduling. Be adaptable to new technologies and resources to improve workflow efficiency.
Outreach & Engagement
: Assist with community outreach for wellness programs, including webinars and in-person events. Follow up with leads from webinars and events, scheduling discovery calls or consultations as needed.
Tracking & Reporting
: Maintain tracking documents for client progress, program effectiveness, and key metrics, providing regular updates to the team for strategic decision-making.
Required Qualifications:
Minimum 2 years' experience
in customer service.
Live in
San Francisco Bay Area, California
Experience in the
hospitality, or wellness industry
is preferred.
A
passion for health, wellness, and spirituality
, with a strong commitment to client success.
Tech-savvy
with the ability to use administrative tools and adaptable to new technologies.
Strong organizational and

(32 hours/week), Monday-Thursday 8:00 AM - 5:00 PM Pacific
Compensation
: $25-30/hour depending on experience, full-time benefits, and monthly bonus system
>90% Remote
Assist with a weekly live evening event in San Francisco
