Willow Administrative AssistantJob SummaryThe Administrative Assistant position will report to the Willow Project Integration Manager and will to support full Willow Leadership team, Including, Project Delivery, Subsurface, Drilling and Operations. This role will perform a variety of office and functional support duties including but not limited to: meeting scheduling, daily and weekly reporting, onboarding support, maintaining files, records, and documents in electronic or paper form and general administrative duties. As part of the Willow project team organization, this role will support an integrated leadership group that prioritizes excellence, organizational skills, attention to detail and a culture of fun in a very fast-paced working environment. Communication skills, resilience, and an ability to manage multiple tasks/projects concurrently will serve well in this role.Responsibilities\xc2\xb7 Manage office supplies, office moves, prepare travel and expense reports, and distribute mail.\xc2\xb7 Manage logoed swag inventory, storage and distribution.\xc2\xb7 Organize and maintain electronic files for the Willow Leadership Team.\xc2\xb7 Develop library of visuals for the Willow project team to include videos and photos of project progress.\xc2\xb7 Prepare and maintain "on-boarding" materials for incoming employees including office procedures, ergonomic evaluation, desk and office equipment, arranging initial safety training, badging, and other support as appropriate.\xc2\xb7 Coordinate and schedule a variety of meetings; manage WLT calendars as needed.\xc2\xb7 Arrange and book travel for WLT members.\xc2\xb7 Complete monthly expense reports for WLT members.\xc2\xb7 Coordination, logistics and hospitality for all executive-level meetings, off-sites and team building activities.\xc2\xb7 General floor admin duties such as securing calendars, managing facility work order requests.\xc2\xb7 Coordinate community service events such as United Way, Day of Caring event, and other company functions for supported groups.\xc2\xb7 Assisting with roll out and execution of the Willow Communication Plan.\xc2\xb7 Initiating and organizing project social engagements and events.\xc2\xb7 Prepare internal communications on behalf WLT members.\xc2\xb7 Provide back-up coverage on an as-needed basis for other administrative assistants.\xc2\xb7 Other projects and/or ad hoc requests as they arise.\xc2\xb7 Takes ownership of actions and follows through on commitments by holding others accountable and standing up for what is right.\xc2\xb7 Builds effective solutions based on available information and makes timely decisions that are safe and ethical.\xc2\xb7 Builds positive relationships based on trust and seeks collaboration across organizational boundaries to achieve goals.\xc2\xb7 Listens actively and invites new ideas for shared understanding, then influences and acts to drive positive performance and achieve results.\xc2\xb7 Drives thoughtful and pragmatic change, encourages innovative thinking and continuous improvement, and models adaptability through resourcefulness, flexibility, and positivity.Required Qualifications\xc2\xb7 2+ years of Administrative / Communication experience or equivalent support role\xc2\xb7 Intermediate proficiency in Word, Excel, Outlook and PowerPoint\xc2\xb7 Strong communication skills \xe2\x80\x93 both written and oralPreferred Qualifications\xc2\xb7 Basic knowledge of SAPWillow Project OverviewLocated on Alaska\xe2\x80\x99s North Slope in the National Petroleum Reserve (NPR-A), the Willow project is estimated to produce 180,000 barrels of oil per day at its peak.The economic impact of the Willow project will be sizable. According to the Bureau of Land Management (BLM) estimates, Willow could generate between $8 billion and $17 billion in new revenue for the federal government, the state of Alaska, the North Slope Borough, and local communities.
